Debit Note: make a debit note to send Clients, Agents… 

Choose Shipment> List> Profit & loss tab > Revenue tab

Step 1: Click the button “Add New”.


Step 2: Add Debit Note will show up, explaining the fields:

  • Recipient Type (The one receiving the debit note): The system already loaded the default customer (Customer), if you want to choose another recipient, the list also provides: Provider; Custom.                                                                                          
  • Select Lead/ Client: The system already loaded the default clients' name, if you want to choose another recipient, choose in the list:                                                
  • Created Date: the date created Debit Note; Due Date: the deadline of the debit note
  • Currency: the money, currency; Payment Method: way to pay the debit note.
  • Display one Currency: (If the Debit has different currencies).

Choose the checkbox "Display one currency", then after making the Debit only show one currency as the field "Currency" you choose above.

  • Price detail: 
  • Case 1: If from the beginning of the Pricing tab, the estimated price is created, then when making the Debit Note, the system will automatically load the estimated from Pricing to Debit note, then you can add, edit, delete to adjust the actual price of the shipment.  


  • Case 2: Pricing tab, the price is not created (No data), then click “Custom” to add the price manually.

  • Number Decimals (round the decimals): Click (-) or (+) to increase or decrease, round to 2 decimals that show on the Debit Note with the chosen currency. 

  • Change the exchange rate: Click the button “Change” to edit the currency exchange rate  

  • Click “Use currency system exchange rate” to use the default exchange rate on the system (in Setting> Library> Exchange rate).
  • Attached Files: attach any file (if you need it). 

  • Note: a note for Debit, if you need
  • Save: click the button “Save” to finish making the Debit Note.

Explaining the status of Debit Note:

The status of Debt help you control if the Debit was Make Invoice or not, avoids missing,  leads to missing invoice when accounting, which makes accounting missing in releasing one bill or invoice and can not report the shipment: 

Pending: Debit hasn't been created Make Invoice

Active: Debit has created a Make Invoice.
